Procurement & Vendor Management

Vendor contracts, from inbox to one system of record.

A fintech procurement team runs its vendor-contract workflows on Clausey — vendor intake, DPA and policy checks, renewal windows, and e-signature — replacing a spreadsheet-and-inbox process with one system of record, composed without code.

The challenge

Vendor agreements arrived by email, were reviewed by hand, and were tracked in a spreadsheet that nobody fully trusted. Whether a DPA had been signed, when a renewal window closed, and which version was executed each meant opening another system — or asking the person who remembered.

The approach

The team imported its vendor contracts into the Vault and composed four workflows in the visual builder: vendor intake, DPA and policy checks against its risk standard, renewal-window tracking, and e-signature with the executed copy filed back automatically. Every extracted term is cited to the page it came from.

The outcome

One system of record replaced the spreadsheet and the inbox. A new vendor is checked against the risk standard the day its contract lands, missing DPAs are flagged critical rather than discovered at audit, and renewal decisions open as tasks before the window closes — all on the same engine Clausey runs for every other team.
